Dear Professors and Graduate Students,
Starting this semester, graduate students who need to apply for an embargo on the public release of their printed thesis or dissertation must submit their request before the degree examination. During the oral defense, students are required to present the "Embargo Application Form" and relevant "Supporting Documents" for review and approval by all members of the degree examination committee.
Students are strongly advised to discuss with their advisors in advance whether an embargo is necessary and the duration of the requested delay. Please complete the relevant procedures in accordance with the regulations to protect your rights. For the detailed application process, please refer to the Library's website. The key points are as follows:
1. Review Process: Before the degree examination, students should fill out and print the application form from the "Printed Thesis/Dissertation Embargo Application System." During the oral defense, please submit the "Application Form" and "Supporting Documents" (2 original copies of each) to all examination committee members to verify if the thesis/dissertation involves confidential information, patent matters, or is legally restricted from being published.
2. Review Criteria: * Confidentiality or Legal Restrictions: Applicable laws/regulations or concrete factual evidence must be provided.
Patent Matters: The patent application number or relevant application details must be provided.
3. Supporting Documents: Supporting documents must state concrete facts sufficient to justify the necessity of the embargo. If there is currently no data available for verification, please provide a written explanation detailing the reasons and necessity for the application. You may refer to the instructions on the Library's website (where blank forms for supporting documents can be downloaded). The acceptance of these documents is subject to the review results of the examination committee or relevant department regulations.
4. Embargo Period: Each application for a printed thesis/dissertation embargo is valid for a maximum of 5 years. Extensions require consecutive applications. From the second application onwards, approval must still be obtained from all original degree examination committee members or confirmed through a Departmental Affairs Meeting (or equivalent) of the original department/institute.
5. School-Leaving Procedures: Upon graduation, the application form and supporting documents approved by the department, along with the finalized printed thesis/dissertation, must be submitted together to the Department Office and the University Library when completing your school-leaving procedures.
